YOONO notice for report subjects

Purpose of this notice

This notice explains who we are at Yoono and what we do.  It has been written mainly for the benefit of any individual who is the subject of a report run by a Yoono customer.

Please remember that Yoono customers decide why to generate reports, and about whom. Our customers are solely responsible for their of Yoono reports and the information contained in those reports, and act as the relevant use ‘data controller’ under applicable data protection laws.  In the first instance, we always recommend that you contact the Yoono customer with questions or concerns about a Yoono report. 

What is YOONO?

Yoono is a business-to-business, software-as-a-service (SaaS) company that provides a platform to allow its business customers to produce reports about individuals using publicly available information.  The platform uses specially trained AI models to find and summarise that information. 

Yoono reports are normally generated for recruitment purposes – to allow our customers to understand more about a candidate, their background and their fit for a particular role.

All Yoono customers are businesses and are required to only generate and use Yoono reports for legitimate business purposes.

What is in a YOONO report?

Publicly available information about report subjects, drawn from a range of sources.  This includes:

  • Professional profiles and backgrounds drawn from sources such as LinkedIn and company websites.

  • Information in corporate registers (about directorships, shareholdings etc.) such as Companies House, as well as official gazettes and published court judgments.

  • Information from reputable third party providers of business contact and company information.

  • References in online publications and news media.

  • Information drawn from social media pages, where these have been made publicly available.

  • Photos and other images publicly available online (through search engines).

It is up to the customer to decide what types of data they want to include in a report, in line with their use case for the report.

It is important to stress that – other than information provided directly by the customer (such as a report subject’s CV) – all information sourced for a Yoono report is publicly available and could be found by the Yoono customer (or anyone else) through general web searches.

How are YOONO reports used?

Ultimately, that is up to the Yoono customer.  In most cases, customers use Yoono reports to help get a complete picture on a candidate as part of a recruitment process run by them or by their end customer (e.g., where the Yoono customer running the report is a recruitment agency).

However, we do take steps to ensure that all Yoono customers are legitimate businesses and we prohibit the creation and use of a report for any purpose that is unlawful or otherwise inappropriate.

What legal obligations do YOONO and the customer have?

The Yoono customer is responsible for its use of the Yoono report.  It decides when and why to generate a report, and how to use it.

Under data protection law, the Yoono customer is the ‘data controller’ for the personal data contained in a report.  Yoono acts on behalf of the customer, as its ‘data processor’.   This means that if you have any questions about your data protection rights – including in relation to rights of access, accuracy or erasure – you should contact our customer in the first instance.

Depending on how the Yoono customer uses the report, they may have other relevant obligations under applicable law – for example, equality and employment law obligations that may be relevant to running a fair recruitment process.

What to do if you are worried about the accuracy of a YOONO report?

We appreciate that it may be upsetting if you consider information in a Yoono report to be inaccurate or misleading.  In those cases, we are committed to working with the relevant Yoono customer to help put things right.

Your first step should be to contact the Yoono customer who has produced the report and explain the inaccuracies as you see them.  If necessary, we will cooperate with the customer to investigate any underlying technical issues with the Yoono platform, where relevant.

We would like to reassure you that Yoono has invested considerable time in ensuring that its technology offers best-in-class performance when it comes to accurately finding and summarising publicly available information about report subjects. We also take steps to ensure that the customer is able to use the platform to accurately identify the correct report subject (for example, in cases where a report subject has a common name) before running a report.

However, ultimately we are not responsible for the underlying information pulled into a report, and we recognise that publicly available information may sometimes be inaccurate or misleading.  For this reason, Yoono customers are reminded about the importance of reviewing such information sceptically, and of exercising discretion and checking with other sources before placing reliance on the information.

For how long are YOONO reports retained?

This is up to the individual customer and will be influenced by their use case for the report, as well as any legal obligations they might be subject to. However, by default the Yoono platform supports a retention period of 6 months for reports.
